Keeping suppressed contacts out of future uploads

Prevent future uploads and integrations from restoring excluded contacts to email marketing with matching and status checks.

Check each proposed upload against the current exclusion record before contacts enter a sending audience, then verify the resulting statuses. A spreadsheet deletion or an archive in one platform may not survive a later file or integration.

Keep the exclusion decision available

Record the address used for matching, reason, date, source and affected marketing streams. Distinguish a requested unsubscribe from an inactivity pause, missing-permission hold and invalid-address hold. Restrict access; retain what is needed to apply and explain each decision.

Give opt-outs priority. A newer customer file must not restore someone to marketing just because it marks them an active buyer. A purchase record and marketing permission answer different questions. Review any later fresh marketing choice separately before changing a status.

Gate every file and feed

Apply the same sequence to manual uploads and scheduled integrations:

  1. Identify the destination audience and the marketing status the process could assign.
  2. Match proposed addresses against exclusions from relevant systems and audiences.
  3. Keep matched records out of marketing using a method that preserves the correct reason.
  4. Check permission for the remaining records; absence from an exclusion list does not prove consent.
  5. Review the import summary and examples of the resulting statuses before a campaign uses the audience.

Keep a dated record of the source, exclusion version, matches, unresolved records and decision.

Account for platform limits

In Mailchimp, contacts in more than one audience must be archived from each audience. Archived contacts are removed from the contact table and cannot be sent marketing emails or texts.

You can unarchive them from the contacts table or with an import. A contact can also unarchive themselves by signing up through a Mailchimp signup form or interacting with a connected online store.

Keep a separate reason record and check the resulting status before sending.

These are Mailchimp behaviours, not rules for every platform. Check how the actual destination matches new and existing records and how its integrations can change status. Before a large import, test a small controlled batch and compare the resulting statuses with the exclusion record.

Reconcile before sending

Inspect examples of an opted-out address already in the audience, one arriving as a new record, an inactivity pause and an eligible subscriber. If a prohibited contact becomes marketable, hold the send, correct the process and repeat the affected check.
